Resident Record

Editing Resident Record and viewing all information about the Resident.

The Resident record tells you all about a resident. We can share information gathered to different systems (such as your EHR). You can manage their address book, see orders, or check their Alexa devices. The following illustrates how to engage with your resident records.

Resident Card 

Residents appear in a list on the left side. To view a specific resident record, click their name. 

The card will change from gray to dark blue, and move to the top of the resident list. On the resident card you see; their picture, name, apartment number, any notes that have been captured, and whether they are on or off premise. Note you can change their on/off premise status with the toggle in their card.

You can also directly interact with residents directly from their resident card by clicking one of the icons on the right side of the card.

You can:

  • Send an announcement
  • Set a notification
  • Create an order

 

Where do these “notes” come from?

Notes are meant to be little items that matter. They can be entered in the resident record under the “About” tab, or in the staff app on any request card. The idea is to update things about the resident so other staff can easily see the latest information.

Some examples are:

  • Don’t open her door, cats will escape!
  • Be aware that his son recently moved away
  • Congratulate her on her new grandchild!

Contacts and Alexa Address Book

This is where you can add contact information and select some details to enable communication via Alexa or the Speak2 Community app.

You can view, edit or add new contacts.

Cell-Landline

  • If you are adding a cell phone or landline, click here.
  • If you’d like this contact to receive any announcement alerts, add their email and turn on the toggle. 

Room To Room

Create an Alexa-to-Alexa contact.

  • When you select this, you are adding another resident or staff's Alexa device as a contact to call.
  • This Resident can call them and other contacts can call them back all through Alexa, no phone or app required. 

App Entered

Invite a family member to the Community App.

  • Use this option to allow for a Family member to manage their loved one’s Alexa Address Book. 
  • Enter their email and phone number.
  • They will be sent an email and text to join the Community App where they can make calls, send messages and invite other contacts.
  • They can also see Community content like activities, menu and announcements.

Feed

This enables you to view all interactions a resident has generated with Speak2. This is similar to the community view, but only displays items related to the selected resident. This can be any web, app or Alexa usage as well as any technologies connected to Speak2.  The display defaults to the current day, but you can change the date filter to other time periods. 

Tip: Use the Filter button to view specific features and export or print the information. 

Calendar

Each resident has their own personal calendar to be used as any other digital calendar. They can manage their calendar directly via the web, app or Alexa. Staff and family can also put items on their calendar or manage their calendar based on the level of permissions they’ve been given.

The resident calendar displays events, any orders or requests made or accepted. You can add new events, print or export this information. 

Note: When a resident asks Alexa “What’s on the calendar?” they will be given the community calendar AND their own calendar events that day. 

Attendance

This view displays the attendance history of residents with some charts and graphs for a visual representation of how that resident is participating. Activities and Dining are the areas where attendance can be measured in Speak2 for residents. You can modify the date filter, export or print the information. 

  • Activities and Dining. View weekly summary of the activities attended. A bar graph will display representing the number of activities attended over the last 4 weeks. Scroll below to see a chart of the activity, day/time, host, and participation status. 
  • Menu Analysis. View weekly summary of dining meals attended. See which meal they ate and if they accepted, delivered, etc. 

About

Manage basic information about a resident - their name, apartment, email, cell, and other standard persona information. Note we have some fields that can be useful for the community to be aware of, such as their Amazon account ID, insurance company, and care plan.

Note: “Social Opt-in” field is an important toggle as it will determine whether any details about a resident are displayed to other residents.

For example, if the resident has interests that can be seen by other residents, they may be more likely to make a connection, or be invited to events and groups.

If they choose not share any social information, no other resident will be able to see anything other than their name and apartment number. 

Warning: If a resident does not want other residents to see their likes or interests, turn Social Opt-in off. 

Profile

Speak2 provides a way to identify residents “likes” and preferences. We use the common dimensions of wellness as our guide, but we have added items that our customers have requested. We are always evolving the categories and items and welcome new suggestions. 

Select the various profile elements to connect residents to people, events and content that are most likely to interest them.

Tip: An extended benefit of identifying these items is related to reports and analytics. By having a resident profile, you can analyze your programming and see how your choices align with resident interests.

Dietary 

Capture dietary goals and restrictions in the resident record.

This can align with menu and event services to identify potential conflicts and to help identify meals that help in reaching goals.

As an example, if a resident is not meeting their protein goals, a specific meal can be recommended; in contrast, if a resident has a sodium restriction, a warning can be issued for a specific meal item.


Connecting Resident Profiles and Services

You will see matching profile and dietary information in the service management tabs. This is where these items are joined and made useful.

Below is an example of what can happen if profile and dietary information are managed. Also, keep in mind Speak2 can integrate to other systems to pull or push this data to lessen the data entry where possible:

Example: 

  • Here is Resident Janet Campbell. She is diabetic, likes to play cards, and loves puzzles.
  • When the event “Rummikube” was created, the “cards” profile item was selected.
    • When the lunch menu was created, the dessert “ice cream” was identified as a “Diabetic” restriction.
    • When a new resident moves in, Helen, “puzzles” is selected as a profile item.
  • When Janet asks for the calendar of the day's activities, Rummikcube is highlighted as an event she might like. Alexa says, “We have an event today that we think you might like. Rummikube is being played today in the card room at 1:00 PM.”, and the event is in bold on her resident app.
  • When Janet sees lunch on her Alexa screen, there is a little warning that says, “Ice cream conflicts with your dietary plan. Please be aware.”
    • Further, staff is notified when Janet asks for Ice Cream at her table that she is diabetic and can react to this appropriately.
    • Finally, when the new resident, Helen, looks in her resident app, she sees that Janet also loves puzzles and that there is a puzzle group. Janet and Helen connect and become friends.

Analyze

The Analyze tab presents attendance information and graphs to show how many events had the potential to be a match for the resident, and how many they actually attended. This tab is intended to help with conversations related to the residents' participation, the programming for that resident, and ways to provide focus where needed.

Alexa 

The Alexa tab is all about the resident's Alexa. In addition to seeing the status of the Alexa device, you can view or edit the attributes of the Alexa. These attributes are: 

  • Wake word (what word prompts Alexa to “listen”)
  • Language (only English, Spanish, French are available)
  • Maximum volume
  • Speech confirmation (this will enable a tone if turned on when Alexa is activated)
  • Temperature and Measurement formats (celsius/fahrenheit, decimal)
  • Time zone
  • Do not disturb, which makes Alexa dormant (this can be turned on/off remotely with this toggle)
  • Device status history, which tells when the device has gone on and offline.

Question of the Day

This tab presents the resident’s answers to the Question of the Day feature.  The “QOTD” presents a question to the resident during their morning routine or check-in process. This feature is covered in the “Check In” feature description.

For the purposes of the resident record, this tab provides the history of questions asked and answered.
