Care tracking, room visits and unscheduled interactions

Use notepad to record room visits, resident interactions or care tracking through Alexa, web or app. 


Care Tracking on Alexa

This occurs in a specific resident apartment where Alexa already knows the resident and room location.

  1. Say, "Alexa, visiting apartment" 
  2. Alexa will say, "Who is visiting?" Reply back with your name or tap on the touch screen if you have Echo Shows.
  3. Alexa will validate your visit. 
  4. When you complete your tasks or visit, say, "Alexa, leaving apartment"
  5. Alexa will ask, "What did you do?" Reply back with your notes.
  6. Alexa will validate your visit and log your notes.

Corporate or leadership teams typically set care tracking codes. To view a list of all your care tracking codes, click the wrench icon top right corner > Services > filter by Care department

Unscheduled Interaction on Alexa

Capture resident interactions at any location in the community, such as a common area device. 

  1. Say, “Alexa, open my notepad"
  2. Alexa will say, "Tell Alexa what is happening?" and reply back with the event.
  3. Alexa will ask, "With who?" and reply back with the Resident's name.
  4. Alexa will ask, "Where?" and reply back with the Room location.
  5. Alexa will ask, "For how long?" and reply back with the duration.
  6. Alexa will ask, "Who is recording this event?" and reply back with your name.
  7. Alexa will repeat back your interaction and confirm with Yes or No. If it is incorrect, say No, and Alexa will start over.

 



Notepad Web and Reports

View care tracking events, kiosks, or unscheduled interactions here. You can view it in a list form or through a calendar view. Print or export this information as needed. 

  1. Click Notepad (the * icon) on the left-hand Navigation.
  2. You will see a list of current Notepad events. 
  3. Filter by Date, Activity Type, or Search for an Event. You can export or print. 
  4. Click the + button to create a new entry
  5. Click the pencil button on the left side to edit an entry
  6. Click the Game Controller icon to match any Notepad entries to your Services, if your community is enabled.  
  7. Click the Sync icon to send to an integrated EHR system. (Note - this requires a project with Speak2 to connect your EHR or billing system to Notepad) 

View any Resident Notepad entries in their Resident Record > Calendar. Or, view any staff notepad entries under Staff > Calendar.

 

 


 
Adding a Notepad on the Staff App

  1. Open the Speak2 Live Staff App on your smartphone or tablet
  2. Click the * button on the bottom right
  3. Fill in your information: the event, resident, room, time/date and
  4. Click "Confirm Event" to save.
