Room Visits, Unscheduled Interactions and Kiosk
We provide two ways for quick data capture - using our app, the notepad entry form is easy to access and fill out, so you can track activity quickly, whatever it is. However, our most powerful way to collect data quickly is the hands-free use of Alexa.
Staff can speak with Alexa to capture room visits, unscheduled interactions, resident location, attendance, and any other data point that should be tracked and measured.
Every notepad entry can be matched to a Service, enabling the management, costs, and usage of services within a community - hands free. The adoption of this AI matching tool requires Service training.
How to View Notepad on the Web
- Click Notepad (the * icon) on the left hand Navigation
- Default is a list view. To see a calendar view, click the calendar button on the right side
- You will see a list of current Notepad events
- Filter by Date, Activity Type, or Search for an Event. You can export or print
- You can view any Resident Notepad entries in their Resident Record > Calendar
- You can view any Staff notepad entries in their Staff Calendar
- Click the + button to create a new entry
- Click the pencil button on the left side to edit an entry
- Click the Game Controller icon to match any Notepad entries to your Services.
- This is dependent on the services you have created in your Community.
- Click the Sync icon to send to an integrated EHR system. (Note - this requires a project with Speak2 to connect your EHR or billing system to Notepad)
1. Room Visits on Alexa
Note: These are interactions taking place in a known location, such as an apartment. The voice entry process is very quick and well-defined based on location awareness.
Visiting Apartment on Alexa
- Say, “Alexa, visiting apartment"
- Alexa will say, "Who is visiting?" Reply back with your name.
- With Echo Shows, you can scroll and select your name on the touchscreen.
- Alexa will validate your visit
Leaving Apartment on Alexa
- Say, “Alexa, leaving apartment"
- Alexa will ask "What did you do?" Reply back with your activities.
- Alexa will validate your visit and log your activities.
2. Unscheduled Interaction on Alexa
Note: This is a way to capture interactions with residents at any location in the community, and is free form, allowing the entry of any interaction that is stored in the resident, staff and community records.
Notepad on Common Area Alexa (unscheduled interaction)
- Say, “Alexa, open my notepad"
- Alexa will say "Tell Alexa what is happening?"
- Reply back with the event.
- Alexa will ask "With who?"
- Reply back with the Resident name.
- Alexa will ask "Where?"
- Reply back with the Room location.
- Alexa will ask "For how long?"
- Reply back with the duration.
- Alexa will ask "Who is recording this event?"
- Reply back with your name.
- Alexa will repeat back your interaction and to confirm with Yes or No. If it is incorrect, say No and Alexa will start over.
3. Kiosk on Alexa
Note: This is a check in/out interaction that can capture the time, location and people entering and exiting a location.

How to View Notepad on the Staff App
- Open Speak2 Live Staff App on your smartphone
- Click the * button on the bottom right
- Step 3: Fill in the information. Add the event, select the resident, add the room, select time/date and click "Confirm Event" to save. Click the play icon on the lower left of the below below to see how to use the Staff App and Notepad.
